Campus Posting Procedures

All posters must be approved and have received a stamp to be hung on designated campus posting boards.

• Who can utilize this channel: University departments, Registered Student Organizations, students, faculty, and staff. External community members and businesses may be approved to utilize this channel if relevant to the university community.
• How to Request Approval: Printed copies must be brought in to be reviewed and receive a stamp. If you would like to have poster reviewed prior to printing, send the digital file to the Promotions Office ([email protected]).
• Stamping Locations: To have your posters stamped for posting, please visit the following location depending on where you intend to hang your posters:
  • GVSU’s Valley campus, visit the Promotions Office (Kirkhof Center 0008)
  • GVSU’s City - Pew Campus, visit Facilities Services (Bicycle Factory Suite 350)
  • GVSU's City - Health Campus, visit CHS Lobby Front Desk
• Process for Hanging: Approved posters can be hung on designated campus posting boards by individuals themselves or by the Promotions Office (for a fee).
• Deadline for Requests: If the Promotions Office is printing your poster, see their website for project lead times.
• Quantity Limitations: Determined by number of posting boards in operation at the time. See the Bulletin Board Posting on the Campus Posting Procedures website for most up-to-date posting locations and quantities.
• Process for Removal: All posters will be removed by the Promotions Office or Facilities Services.
• Duration: Posters can be displayed for a maximum of 1 month or until the day after the event has concluded, whichever occurs first. During summer semester, posters may be approved for the full duration of the semester (or until the date of the event has concluded).

The Laker Hub refers to a network of public digital signage displays that feature GVSU-affiliated promotional slides and curated social media content throughout multiple campus locations. All information appearing on Laker Hub digital signage must be approved by the Promotions Office consistent with the Postings Policy and the University Posting Guidelines.

Laker Hub Digital Signage does not refer to individual department-managed digital displays. Although departmental signage must otherwise adhere to the Posting Policy, such displays do not require pre-approval by the Promotions Office.

• Who can utilize this channel: University departments and Registered Student Organizations
• How to Request Approval: Your slide will be reviewed by the Promotions Office when the service request is submitted. If you would like to have your slide reviewed prior to submitting it, send the digital file to Promotions.
• Process for Displaying: The Promotions Office is responsible for adding content to the display. You must submit a service request through Promotions.
• Deadline for Requests: If submitting a slide for display, see the Promotions Office website for project lead times.
• Process for Removal: The Promotions Office is responsible for removing content.
• Duration: Posters can be displayed for a maximum of 1 month or until the day after the event has concluded, whichever occurs first.

Outdoor banners are limited to banners that promote a specific University-related event. All event banners must be pre-approved by Facilities to be hung in outdoor locations.  Outdoor banners are only available to University departments for the purposes of promoting or directing attendees to events having a University purpose.

• Who can utilize this channel: University departments
• How to Request Pre-Approval: Design your outdoor event banner and submit image to Facilities Services for prior approval consistent with the Posting Policy and the University Posting Guidelines.  All banners must conform to Facilities design, size and construction standards which will be provided upon request.
• Process for Hanging: Request to hang your pre-approved banner either in front of Lake Huron Hall in the Academic Mall area, at the Northwest side of the Student Services Building facing Campus Dr., or on a specific light pole. Facilities Services is responsible for hanging pre-approved banners.
  • The banner(s) will be tied to metal posts that are secured into the ground. Banners may not hang from sculptures, the roof or inside any building, or be placed in the ground at a different location other than the two indicated unless prior approval has been given by the Associate Vice-President of Facilities Services. 
• Deadline for Requests: All outdoor banner pre-approval requests must be submitted to Facilities Services a minimum of 2 weeks in advance of desired posting date.
• Quantity Limitations: There are four (4) outdoor banner locations. There are twenty-five (25) light pole locations.
• Process for Removal: Facilities Services is responsible for removing outdoor banners.
• Duration:  Outdoor banner locations, other than light poles, can be utilized for a maximum of one week. Light pole locations that can be utilized for a maximum of two weeks.
   

All yard signs must be pre-approved in order to be displayed on University owned and controlled property. University departments placing yard signs may only do so for the purposes of promoting or directing attendees to events having a University purpose.

• Who can utilize this channel: University departments, External organizations and businesses hosting approved events on campus may be approved to utilize this channel for wayfinding signage.
• How to Request: To request, please contact the Promotions Office on GVSU’s Valley campus or Facilities Services on GVSU’s City campuses to describe the desired sign content for prior approval consistent with the Posting Policy and the University Posting Guidelines.
  • Three white 18” x 24” yard signs with navy vinyl letters are available through Facilities Services free of charge. (Any additional yard signs ordered will be at a cost of $15.00 each and you must provide necessary cost center number and worktags.)
  • Full color custom yard signs are available through the Promotions Office for a fee, which will be provided upon request.
  • Handwritten signage will not be approved.
• Process for Displaying: Departments may place yard signs on their own or submit a work order to have signs placed by Facilities Services.
  • Yard signs must be within 3 feet of sidewalks
  • Yard signs are not permitted in locations that impede pedestrian traffic flow.
  • No signs may be installed in front of the arch at the north main entrance or in front of any welcome sign at the campus entrances.
• Deadline for Requests: All yard sign requests must be submitted to the Promotions Office or Facilities Services a minimum of 2 weeks in advance of desired display date.
• Quantity Limitations: No more than 20 yard signs on the Valley campus and no more than 10 on the City campus can be displayed for a single event regardless of whether for promotion or wayfinding.
• Process for Removal: Departments who place yard signs on their own must also remove the yard signs. Facilities Services will remove signs placed by Facilities Services pursuant to a work order.
• Duration:
  • Wayfinding: yard sign can be installed the day prior to the event and must be taken down the day after the event by 10 a.m.
  • Event promotion: yard sign can be put up one week prior to event and must be taken down the day after by 10 a.m.
  • University Campaigns:  yard sign can be posted for a maximum of two weeks

All indoor banners are limited to designated areas in the Kirkhof Center. All indoor banners must be approved by Promotions, consistent with the Posting Policy and the University Posting Guidelines.

• Who can utilize this channel: University departments and Registered Student Organizations
• How to Request Approval: Your banner will be reviewed by the Promotions Office when the service request is submitted and prior to printing.
• Process for Hanging: The Promotions Office is responsible for displaying banners in Kirkhof.
• Deadline for Requests: If the Promotions Office is printing your banner, see their website for project lead times.
• Quantity Limitations: Quantity is limited to a maximum of two banners per group being displayed at any one time, and will be subject to space availability. Priority will be determined on a first-come, first-served basis.
• Process for Removal: The Promotions Office is responsible for removing banners in Kirkhof.
• Duration: Banners in Kirkhof Center can be displayed for a maximum of 1 month or until the day after the event has concluded, whichever occurs first. During summer semester, Kirkhof Center banners may be approved for the full duration of the semester (or until the date of the event has concluded) and will be subject to space availability.

All chalking must be pre-approved by the Promotions Office consistent with this policy and the University Posting Guidelines. Chalking is only permitted to promote an upcoming event. These procedures do not pertain to University-sanctioned chalking events.

• Who can utilize this channel: University departments and Registered Student Organizations
• How to Request Approval: Submit a Campus chalking request form through the Campus Posting Procedures site. It will be reviewed by the Promotions Office to make sure it is consistent with the Posting Policy and the University Posting Guidelines.
• Process for Chalking: Chalking may only occur by an individual associated with the event. Chalking is limited to placement on designated sidewalks.
• Deadline for Requests: All chalking approval requests must be submitted to the Promotions Office a minimum of 3 days in advance of desired display date.
• Process for Removal: Individuals associated with the event are responsible for removal
• Duration: Chalking can take place a maximum of two days in advance of the event and must be removed by 10 a.m. the day after the event.
